Fees & Frequently Asked Questions

We believe cost should never be the reason someone doesn't get support. Here's everything about fees, coverage, and how sessions work — in plain language. If anything is unclear, email info@icacounselling.ca or call 905-519-5158.

Sliding scale, low-cost, and pro-bono spots are available based on financial need — please ask during your consultation. Availability is limited but we will always try to find an option that works.

Is my therapy covered?

IFHP (Interim Federal Health Program). If you are a refugee claimant or protected person with active IFHP coverage, your sessions are billed directly to the program. You pay nothing. Bring your IFHP certificate or UCI number to your consultation and we handle the rest.

NIHB (Non-Insured Health Benefits). Eligible First Nations and Inuit clients can access counselling through NIHB. We can help confirm your eligibility and complete any required approvals.

WSIB. If you have an approved WSIB claim involving psychological injury, sessions may be covered under WSIB's mental health programs. We work directly with WSIB on billing and reporting.

Private insurance & EAP. Most extended health plans cover services by Registered Social Workers (MSW, RSW) and Registered Psychotherapists. Check your plan for "social worker" or "psychotherapist" coverage. We provide detailed receipts for reimbursement [and offer direct billing to (insurers)]. Sessions with student interns are supervised by a registered clinician — some insurers reimburse these sessions and some do not, so please confirm with your plan first.

A note on OHIP. OHIP does not cover psychotherapy in private practice. If cost is a barrier, ask us about sliding scale or student intern rates.

Cancellations and missed appointments

Your appointment time is reserved for you. If you need to cancel or reschedule, please give at least 48 hours' notice through the Jane booking portal, by email, or by phone. Late cancellations and missed appointments ("no-shows") are subject to a fee of $40, which is not covered by insurance or funding programs. We understand that life happens — emergencies and genuine crises are always handled with compassion, not penalties. 

Frequently asked questions

How do virtual sessions work? Sessions take place over a secure, PHIPA-compliant video platform through Jane. You'll receive a link before your appointment — all you need is a private space, a device with a camera, and an internet connection. Phone sessions can be arranged if video isn't accessible for you.

Do you offer in-person sessions? Yes — in-person sessions and group programs are available in the Hamilton/Ancaster area. Virtual sessions are available across Ontario, Nova Scotia, BC, Manitoba, and Quebec.

What if I don't speak English comfortably? Our team offers sessions in 11 languages, and we arrange professional interpreters at no cost to you when needed. You should never have to do therapy in a language that doesn't feel like home.

What happens in the free consultation? Fifteen minutes by phone or video. We ask what's bringing you in, answer your questions, check what coverage you may have, and suggest a clinician match. There's no obligation to book afterward.

What's the difference between seeing a registered clinician and a student intern? Student interns are graduate-level therapists in training who provide sessions at a reduced rate under the close supervision of Ilda Caeiro-Azzam, MSW, RSW, and our clinical supervision team. Many clients choose interns for affordability — the care is thoughtful, supervised, and held to the same standards.

Is what I share confidential? Yes. Everything you share is confidential within the limits set by law (for example, risk of serious harm to yourself or others, or a child in need of protection — we explain these fully in your first session). Our records and virtual platform comply with Ontario's health privacy law (PHIPA).
